When the bookkeeping is still on the desk at night

An hour of typing up receipts after the shop is closed. Quotes left undone because the day was too short. A mailbox full of PDF invoices that someone has to sort.

That is everyday life in small companies. It can be changed with tools that already exist today, at a cost a small business can carry.

An example from our own company

With us, an incoming invoice arrives in a folder as a PDF or a phone photo. From there everything runs automatically. The AI reads supplier, amount and date, names the file in line with GoBD and files it in the document archive under the right department. In Lexoffice the document is then fully recorded: booking category assigned, tax split, image attached. Bookkeeping reviews it and corrects where needed instead of typing.

If the same invoice number arrives a second time, the system spots it and does not create it again. A contract, on the other hand, goes to the archive only, without touching the books.

This is not a concept and not a slide deck. The system runs in our own company. We are glad to show it to you live.

What else can be automated

What we build with

We work with standard building blocks rather than custom contraptions: n8n as the automation platform, a German company, on your own server if you prefer. AI from Anthropic for reading and sorting. On top of that, the software you already use, such as Lexoffice, Microsoft 365 or your ERP. No software that only we can maintain.

We built the automations we offer for our own company first. We know the German side of it from our own responsibility: GDPR, GoBD, competition law and the e-invoicing obligation.

Three ways to work with us

1. AI potential check

390 € flat

90 minutes at your place or by video. We go through your processes and find the points where automation actually pays off. Afterwards you get one page of concrete recommendations, ranked by effort and benefit. You can act on them with us or without us. Book a sprint within four weeks and we credit the check in full.

2. Automation sprint

from 1,500 €, fixed price after the check

We build your most important process together, in your environment, with your access. Two to four appointments, after which the system runs at your place, with written instructions and a briefing for your team. You pay for a result, not for hours. Before we start we put in writing what the process has to do. The invoice comes only once exactly that is running at your place.

3. AI sparring

from 250 € a month, cancellable monthly

Your system keeps running even when something changes. We monitor the processes, keep them up to date and add one small improvement every month. Faults report to us, often before you notice them.

All prices are net, plus VAT at the statutory rate.

Data protection, explained honestly

The n8n automation platform runs on your own server or computer. Your documents stay with you, not in a cloud belonging to someone else.

One thing does leave your premises: the content of the document to be read. It goes to Anthropic, the provider of the AI. That is a US company, and processing runs under a data processing agreement pursuant to Art. 28 GDPR with standard contractual clauses. Anthropic does not use this data to train its models and deletes it after a contractually agreed period. We show you the agreement and the current periods before we set anything up, not afterwards.

Where data must not leave the EU, for example personnel or health records, the same models can be run through European data centres operated by AWS or Google. Technically it is the same process, but it costs more. Whether that is worth it in your case, we work out beforehand.

When setting things up we decide together which documents go through the AI and which do not. A folder the automation never touches is perfectly fine, and often the right answer for the sensitive cases.

What happens if something fails?

Any automation can fail: an update, a changed interface, a server that restarts. The real danger is the fault nobody notices for weeks. That is why we build monitoring into every system. Faults are reported automatically, and if a process stays silent for too long, that counts as an alarm too. We install updates in our own environment first, and only then at your place.

What you will not get

No licence fees for software that exists only with us. No lock-in: everything we build belongs to you, is documented and keeps running without us. And no promises an AI cannot keep. Where a person has to look at it, we say so in advance.
